Monday digest
The chase list mails itself every Monday
- ✓One Monday email: everything overdue and everything due in the next 30 days, per customer
- ✓Booked systems are excused, exactly as the board reads them, so the list is all signal
- ✓A clean board sends no email at all. The digest respects your inbox
From HoodTrace
Hood service this week: 1 overdue, 1 due soon
Monday · Jun 29, 2026
Your weekly service digest
Here's every hood system that needs attention: overdue cleanings and everything coming due in the next 30 days.
Overdue (1)
Smokehouse 45 - Fryer bank hood: was due Jun 18, 2026
Due in the next 30 days (1)
Golden Wok - Wok line hood: due Jul 14, 2026
You get this digest on Mondays whenever systems need attention. Log the job or book the rebook and it drops off the list.
Rebuilt live from the board above with the same rules the Monday email uses. A booked job is excused; a logged job drops off.
How it runs
Not a Reminder App. A Rebook Engine.
Every status is computed from your job records against the cleaning interval on each hood, the same arithmetic running the demo board on this page
The sticker date becomes data
Every hood carries the cleaning interval you set for it. Log a job and the next due date is computed from the service date, the same arithmetic printed on the certificate.
The board sorts worst-first
Overdue, then due soon, then booked, then scheduled. A system with no history reads Not yet serviced, so new accounts cannot hide either.
Booked means excused
Mark the rebook and the system steps out of the chase list; the board and the Monday email both honor the booking. Log the job and the cycle restarts on its own.
Monday runs itself
Every Monday, owners get one digest: overdue systems and everything inside the 30-day radar. Nothing actionable means no email.
| Cooking operation | Inspection frequency |
|---|---|
| Solid fuel cooking | Monthly |
| High volume cooking | Quarterly |
| Moderate volume cooking | Semiannually |
| Low volume cooking | Annually |
The cleaning interval on each hood is the service cadence you set with the kitchen, every 30 to 365 days, and HoodTrace runs the rest: 30 days before its next due date, a system enters the due-soon radar. A live booking excuses it from the chase list until the crew shows up, exactly as the due engine reads it.
The leak
A Faded Sticker Is a Competitor's Invitation
Nobody cancels hood cleaning. The fire marshal keeps the demand alive; the only question is whose truck takes the rebook. When the next-due date lives on a sticker over a fryer, that answer drifts.
- ✓Hood cleaning is rebook revenue: the same systems, every 30 to 365 days, for as long as the kitchen cooks
- ✓Customers rarely cancel; they drift to whoever calls first when the sticker fades
- ✓One recaptured rebook covers months of HoodTrace

What's included
Prove the Cleaning. Capture the Next One. Collect the Money.
Proof, schedule, and the money: everything your paper system was juggling, done properly, for your whole company
Inspector-grade certificates
Record the full NFPA 96 cleaning report: per-area results, grease depth readings against the 2,000 micron cleaning trigger, deficiencies found, inaccessible areas, and every 12.6.15 disclosure. Certify the work and HoodTrace mints the numbered compliance certificate; jobs saved without certification stay honest service records. Print-ready for the AHJ, the insurer, and the restaurant's kitchen wall.
Before/after photo evidence
Attach photos to every job and build a time-stamped evidence record. Photos stay private to your account; the certificate notes what's on file, and you can print the evidence pack whenever an adjuster or fire marshal asks.
Delivery that sends itself
Email the certificate to up to 5 recipients per job: the restaurant, the insurer, or straight to your AHJ's report intake. Save those addresses once per customer and turn on auto-send, and the certificate emails itself the moment the job is logged. Links stay live for 12 months and every send is logged, so you can prove who got what, when.
The Tonight board
Schedule crew-nights with the way in attached: lockbox codes, alarm steps, roof access, and the after-hours phone. Every technician gets their own login, tonight's plan rides in their pocket, and a lockout goes on the record as proof your crew showed up.
Sticker-date rebooking
Every completed job sets the next due date from its cleaning interval. Your due-and-overdue board shows exactly which systems are coming due, and putting the night on the calendar is one tap from the same row.
Win-back radar
Walked a kitchen wearing a competitor's sticker? Log the business, the sticker date, and the interval in under 30 seconds. The radar projects when that kitchen comes due again and surfaces it the week to call. No other tool in this trade does this.
Per-hood service history
Every exhaust system gets a permanent record: every cleaning, every photo, every certificate, every scheduled night, in one timeline.
Reminders that work both sides
A Monday email hands you everything due in the next 30 days and anything overdue. Turn on customer reminders and your restaurants get their own weekly nudge, under your name, until the job is booked.
Quotes approved from a phone
Your crew logs a deficiency at 3am; you price it into a numbered quote the next morning. The restaurant GM opens a link and taps approve right from their phone, no login, no account. Line items freeze once the quote is sent and approval is final: found money the cleaning alone was leaving behind.
A money board that chases the invoices
Mint the invoice beside the certificate, or in one tap from an approved quote with the customer's remembered pricing prefilled. The money board tracks every open invoice across four aging buckets, sends a past-due payment reminder in one tap, and exports a QuickBooks-ready CSV. HoodTrace never touches the money: your rates, your checks, your processor.
A QR sticker that answers the fire marshal
Every hood gets a live public service record behind a signed link, plus a printable QR sticker sheet that goes on the hood itself. A fire marshal scans it and sees the schedule, the certificates, and the structured findings. Links stay live for 12 months and reprint fresh at every service.
The insurance packet in one tap
When the adjuster or the AHJ calls, send the customer's whole compliance story on one page: every system, every certificate, structured findings, and current status. One tap, insurer-ready, straight from the records you already keep.

Who is behind this
HoodTrace is built and run by two people, Terry and Kirstie. We build software for trades whose paperwork has teeth, and hood cleaning came first because the proof trail matters most where the fire marshal is part of the sales cycle. When you email support, a founder answers, and the feature requests that come from working crews are the ones that ship first.
Terry & Kirstie, founders
The founding pledge
Three things that will stay true
We never count your accounts
One flat price for the whole company. Customers, hoods, jobs, certificates, and technician logins are never metered: your 200th account costs what your 1st did, nothing.
Your records are never hostage
Export your customers, systems, job history, and certificates any time, and pull a QuickBooks-ready CSV of your invoices. It is your service record, not ours.
Your book is your business
We never sell your data and never market to your customers. Every email HoodTrace sends them is your service mail: your company name, your work, replies straight to you.
Questions Hood Cleaners Ask
Is HoodTrace a field-service management suite?
No, and that's the point. No per-technician pricing, no GPS tracking, no payroll. HoodTrace runs the compliance cycle end to end: prove the cleaning (certificates + photo evidence), run the night (the Tonight board with crew logins and site access), and capture the next job (sticker-date rebooking + the win-back radar). If you need full FSM, suites like ServiceTrade exist at per-tech pricing.
Do the certificates satisfy my AHJ and my customers' insurers?
Certificates carry what NFPA 96's report rules call for: system identification, scope, inaccessible areas, accessible areas not cleaned, duct access panel locations, duct leakage, leaking access panels, your company name, address, and phone, the technician, the date, and a recorded certification signature. HoodTrace prints the NFPA 96 compliance statement only when that record is complete; anything less is issued as a factual service record. Requirements vary by jurisdiction, so what you present is always a consistent, defensible record.
Does HoodTrace replace the service label on the hood?
No. NFPA 96 requires a physical label on the hood after each cleaning, recording the date, who performed the work, and your company's name, address, and phone. HoodTrace records those same facts digitally, prints QR stickers that open the hood's live service record, and rebooks from the sticker date, but your crew still applies the required service label on site. HoodTrace complements the label; it does not replace it.
Can HoodTrace get the certificate to my fire marshal?
Yes, by email. Every certificate can be emailed to up to 5 recipients with a link that stays live for 12 months: the restaurant, the insurer, the AHJ. Save those addresses once per customer and turn on auto-send, and the certificate email goes out on its own the moment the job is logged (paid plans). HoodTrace is not a filing integration: where your jurisdiction collects reports through a portal like The Compliance Engine, you submit there yourself under your own account, with the print-ready certificate as the record of the work, and any per-report fee stays between you and your jurisdiction. Requirements vary, so check what your marshal accepts before you rely on email alone.
Can HoodTrace chase the rebooking for me?
Yes. Turn on customer reminders for a restaurant and HoodTrace emails their contact once a week while a system is overdue or coming due, under your company name, with replies going straight to you. Mark the system booked and the reminders stop. Runs on paid plans, and every reminder carries a working unsubscribe link.
What do my customers and the fire marshal see?
Tokened pages only: no logins, no accounts, nothing to set up. Your customer gets a quote they can approve from their phone and an invoice they can read; the fire marshal scans the QR sticker on the hood and sees that hood's live service record, with the schedule, certificates, and findings. Quote, invoice, and packet links run for 90 days; hood record links stay live for 12 months and reprint at every service.
How is this different from my sticker and spreadsheet?
Same workflow, no leaks. Stickers fade and spreadsheets go stale; HoodTrace computes every next-due date from the actual job record and shows you one board of everything coming due, with the paperwork already attached.
Does HoodTrace process payments?
No, and that's a feature. You keep your rates, your checks, and your processor; HoodTrace mints the paper, tracks the aging, and sends the reminders. Every open invoice sits on the money board in four aging buckets, past-due reminders go out in one tap, and a QuickBooks-ready CSV export keeps your books in step. Marking an invoice paid is your record, not a transaction, so nothing stands between you and your money and no fees come off the top.
What does it cost?
$99/month flat (or $990/year, two months free) for your whole company. Customers, hoods, jobs, certificates, and technician logins stay unlimited. Monthly and trial accounts include 5 GB of photo evidence pooled per account; annual includes 15 GB. You get early warnings as the pool fills; at 100% captures enter a 10% grace buffer, with room reserved for one maximum-size photo so admission can stop just below the displayed 110% ceiling. Existing evidence is never auto-deleted or locked. If your archive outgrows the pool, the optional stackable Evidence Vault adds 100 GB for $12/month or $120/year (two months free), with hoodtrace@bigspawn.com as a fallback if you need help. 14-day free trial, no card required.
Can I get my data out?
Yes, your customers, systems, job history, and certificates are exportable. It's your service record, not ours.
What happens when the free trial ends?
The trial is 14 days with full access and no card required. When it ends, editing pauses but every customer, hood system, job, and certificate is kept. Subscribe and you pick up exactly where you left off.
